VGate ("we", "our", "us") is committed to protecting the privacy of society admins, residents, and security guards who use our platform. This policy explains what data we collect and how we use it.
1. Information We Collect
- Account data: Name, mobile number, email address (optional), society membership details, and profile photo (if uploaded).
- Society data: Unit details, maintenance charges, payment records, complaints, notices.
- Visitor data: Name, vehicle number, visit timestamps, photos captured at gate.
- Usage data: App activity logs for debugging and improving the service.
- Device data: FCM token for push notifications, device OS version.
2. How We Use Your Information
- To provide and operate the VGate platform.
- To send maintenance payment reminders and society notifications.
- To redirect you to your UPI app for maintenance payments (we do not collect or store payment details).
- To improve the AI voice check-in accuracy.
- To respond to support requests and feedback.
3. Data Sharing
We do not sell your data to third parties. Data is shared only with:
- Firebase (Google LLC) — for OTP authentication and push notifications. Google's Privacy Policy applies.
- Your UPI App — when you tap "Pay", you are redirected to your chosen UPI app (Google Pay, PhonePe, Paytm, etc.) via a standard UPI deep link. VGate does not transmit any data to these apps beyond the standard UPI payment parameters (payee UPI ID, amount, description). The transaction is handled entirely by your UPI app and bank.
- Google Gemini (Google LLC) — when the AI Voice Check-In feature is used, the on-device speech-to-text transcription (visitor name and unit number) is sent to Google Gemini solely to parse the visitor's details. No audio is transmitted or stored. The transcribed text is not used to train AI models. This feature requires explicit user consent before activation and is only available when enabled by your society administrator. Google's Privacy Policy governs Gemini's processing of this data.
4. AI Features & Google Gemini
VGate includes an optional AI-powered Voice Check-In feature available to security personnel. Here is exactly how it works and what data is involved:
- How it works: The security guard speaks the visitor's name and flat number. The device converts speech to text locally (on-device), and only the resulting text is transmitted to our backend server, which forwards it to Google Gemini (Google LLC) to extract the visitor's name and unit number.
- What is sent: Only the transcribed text (e.g. "Rahul Sharma, Flat B-201"). No audio recordings are transmitted or stored.
- Who receives it: Google LLC via the Google Gemini API.
- Purpose: To auto-fill the visitor check-in form — reducing manual entry errors at the gate.
- Consent: Users are shown a clear disclosure dialog identifying Google Gemini and must explicitly consent before the feature activates. Declining redirects to manual entry.
- Data retention: Google Gemini does not retain the transcribed text beyond completing the request. VGate does not store the raw transcribed text.
- Opt-out: This feature is entirely optional. Users can always use manual visitor entry without engaging AI processing.
- Third-party policy: Google's processing of data via Gemini is governed by Google's Privacy Policy.
5. Data Storage & Security
- All data is stored on servers within India.
- Data is encrypted in transit (TLS) and at rest.
- Access is restricted to authorised personnel only.
- We conduct regular security reviews.
6. Data Retention
- Active account data is retained for the duration of your subscription.
- After cancellation, data is retained for 90 days for export, then permanently deleted.
- Visitor logs are retained for 12 months by default.
7. Your Rights
- Access your personal data at any time from the app.
- Request deletion of your account and associated data.
- Export your society's data in CSV format (contact support).
- Opt out of non-essential communications.
8. Children's Privacy
VGate is not intended for users under 18. We do not knowingly collect data from minors.
9. Cookies
The VGate mobile app does not use cookies. The VGate website uses minimal session cookies required for form functionality only.
10. Changes to This Policy
We will notify you via email and in-app notification of any material changes to this policy at least 30 days in advance.
